Cross-device forms: Adaptive Forms enable the creation of device-optimised, responsive HTML forms that are optimally displayed on all (mobile) devices. This technology can be used:
- in cross-device form processes (for example, insurance companies, banks, utilities, etc.)
- as offline enabled HTML forms in conjunction with the AEM Forms Workspace app for external customer service staff (e.g. brokers, service technicians, etc.)
- as a central and company-wide form standard.
Central Forms Administration: The Form Portal offers the possibility of centrally storing, managing, versioning, key wording, searching, publishing as well as deactivating forms. From the company's point of view, the form portal is the central interface for centrally managing all forms (PDF, HTML, Adaptive Forms etc.) in one place. For customers and employees, the form portal is the central contact point for finding forms and starting form processes.
Manage form components centrally: The AEM Forms solution enables the real-time generation of forms from a form template. Recurring form components such as headers or footers can be centrally controlled as so-called fragments. Changes to form fragments can be made centrally and are inherited by all referenced forms. Banks and insurance companies sometimes use thousands of forms. Changes to the footer, for example, when changing the company’s board, need only be done once when using fragments. Forms can also be used to extract data in forms and transfer it directly into the company's core system. This significantly reduces the processing costs of form-based business and administrative processes.
Expand Forms: Reader Extensions let you embed usage rights directly into an Adobe PDF file. These rights activate features in Adobe Reader, so that end users can access and interact with Adobe PDF forms: Prefilling with data, adding and saving annotations, inserting digital signatures, dynamically embedding data in barcodes, using web services, etc. The Reader Extensions extend document and form-based processes beyond organisational boundaries. This can improve interaction with customers, business partners, colleagues and employees, and increase the value of core applications.
Generate PDFs: The PDF Generator allows the server-side conversion of different file types (MS Office, Open Office, image files and much more) in PDF or PDF / A formats and vice versa.
Controlling document output: The Output Service can generate PDF / A documents, merge XML data with a template and control the generated output via print, e-mail or PDF.
Digitally Signing Documents: The Digital Signatures Service is used to validate and apply signatures via the AEM Forms Server. By integrating electronic signatures, important business processes can be automated. The use of digital signatures in a server environment enables companies and organisations to migrate paper based processes into automated online processes. The authenticity and integrity of the data are preserved; at the same time, legal requirements can be met more effectively, costs can be cut and customer satisfaction increased.
Digitizing business processes: Companies can increase their efficiency by using process management to automate important business and administrative processes and make them more transparent. This solution integrates users, systems, content and procedures into streamlined, end-to-end workflows that anyone in the world can access online or offline through an intuitive user interface. Developers model a visual process diagram and then configure the process steps. By defining the data model, forms, routing and escalation rules, they create interactions with users. For executing workflows, users have an HTML-based desktop management interface as well as an app for Android and iOS.
Document Rights Management (DRM)
Protecting Documents: Rights Management allows you to encrypt PDF and Microsoft Office documents and provide them with consistent, dynamic rights that protect the confidentiality of content and control its availability and use. All actions on the part of the recipient can be completely logged, so that the use of confidential information can be closely monitored. These rights, which are firmly anchored in the documents, are a fundamental aspect of any strategy, which is aimed at effective data management and prevention of data loss.
Important information is protected and interactions with data are based on precisely defined authorisations. Therefore, accidental or wilful misuse of confidential documents is successfully prevented.
